Organizational Culture

Bellwether takes our mission of serving educators, students, organizations, and communities seriously. But we try not to take ourselves as individuals quite so seriously. We do challenging work, and we know how to have fun. From jumpsuits and talent shows at retreats, to PowerPoint presentations on werewolves and vampires at team meetings, we embrace our individuality — our quirks, talents, and diversity of viewpoints. About the Position

Bellwether has an immediate opening for an Executive and Business Systems Assistant. This person will support the overall management of data and technology for Bellwether, as well as provide administrative assistance for up to three Bellwether team members.

This person will report to the Director of Business Systems.

In this context, the Executive and Business Systems Assistant’s primary responsibilities and duties will be:

Training and Team Support

  • Develop training materials and conduct onboarding and professional development sessions
  • Serve as the first line of defense for questions related to knowledge management (KM) systems such as Salesforce, SpringCM, Zoom, and Qualtrics
  • Monitor support requests submitted through Bellwether’s internal chat platform and provide timely support
  • Identify trends and seek solutions to common problems and elevate complex issues to the Director of Business Systems
  • Maintain the Bellwether FAQs resource, ensuring that it is accurate and comprehensive
  • Continuously gather feedback from staff to refine trainings and customize support

Database and Technology Management

  • Monitor staff adoption and adherence to protocols
  • Design and lead fun adoption challenges for the team
  • Service business systems to maintain quality
  • Routinely audit data in Salesforce and SpringCM to ensure clean and high quality data
  • Support the implementation of new business systems, including testing and training creation
  • Support computers and hardware alongside the Director of Business Systems

Executive Assistance

  • Schedule complex meetings or calls involving multiple people - both internal staff and client staff - for up to three Bellwether team members
  • Arrange domestic travel for these team members
  • Prepare, reconcile, and submit expense reports for these team members on a monthly basis
  • Regularly add and update contact information in Salesforce


Bellwether is a good fit for professionals who possess strong personal drive and motivation; demonstrate exemplary professional behavior and values; and who are resourceful, responsible, tenacious, independent, creative, and self-confident. The ideal candidate should have at least 3 years’ administrative experience supporting people, technology, and complex projects. Additionally, the successful candidate will have the following:

  • Capacity to quickly learn new systems and technologies
  • Comprehensive computer skills including calendaring, word processing, and using spreadsheet and database software
  • Ability to help users of all technical skill levels solve technical challenges
  • Confidence to give and receive feedback, and manage up and laterally, as needed
  • A well-rounded interpersonal skill set with the capacity to work well both independently and in a team environment
  • A high attention to detail and a commitment to producing the highest quality work
  • Excellent problem-solving skills
  • A highly self-motivated work style and the flexibility and willingness to identify and take on additional projects when needed
  • Ability to work proactively in an ambiguous and dynamic small organization
  • Strong communication skills, both verbal and written
  • A track record as an outcome-driven self-starter
  • Strong ethics and personal integrity
  • A professional attitude and customer-service orientation
  • A Bachelor’s degree

The following traits/skills are ideal but not required:

  • Experience using and/or managing Salesforce or a similar database
  • Demonstrated passion and commitment to improving outcomes for underserved students
